Key duties include:
Building and vendor operations: Serves as the primary point of contact for property management, vendors, and facility-related issues. Manages building infrastructure, including utilities, office equipment, and communication systems.
Safety, security and compliance: Develops and maintains safety manuals, emergency protocols and required facility signage. Coordinates routine inspections, including fire safety, pest control and food safety checks.
Day-to-day facility upkeep: Manages daily opening procedures, general office organization and kitchen and breakroom maintenance. Maintains supply inventory and coordinates with vendors to keep the facility, including common areas, parking lots and the warehouse, clean, safe and functional. Handles monthly maintenance tasks, including drain flushing, ceiling tile checks, waste disposal and shredding.
Contracts, budget and invoicing: Tracks the facility budget and ensures all facility-related invoices are verified, approved and submitted to Finance on time. Follows up with vendors regarding delayed invoices or service issues.
Emergency preparedness and coverage: Responds to facility emergencies and coordinates building closures and holiday signage. Ensures leadership has the necessary emergency contact information during planned absences and manages after-hours building security.
Qualifications include:
High school diploma or equivalent and a commitment to dependable, in-person attendance. This position plays an important role in maintaining a reliable facility, so consistent attendance matters.
One to three years of experience in facility operations, administrative management or an equivalent field.
Comfort handling basic financial administration, including tracking budgets, monitoring expenses and keeping payments on time.
Proficiency with computers and standard software, particularly Microsoft Office applications.
Strong communication and interpersonal skills to work confidently with vendors, staff and property management.
Ability to respond to emergency situations and work independently.
The ideal candidate is organized, detail-oriented and customer service focused, with strong interpersonal skills, maturity and sound judgment.
Physical demands include:
Ability to complete tasks with speed and efficiency, move independently throughout the work environment, sit or stand for periods of time, move objects weighing up to 25 pounds, physically use a computer and have normal near-visual acuity, with or without correction.
